Show Supplier/Decorator - Superior Expo Services

You can supply your own booth items but we will have an excellent decorator/supplier available through Superior Expo Services. Your booth is simply your space with black piper and drape (8' back wall and 3' sides) and Superior can supply everything else except internet connections (see below). Many commonly ordered items include draped tables, chairs, carpet and electricity. Click here for the Exhibitor Kit from Superior Expo Services. You may bring in your own booth items as well.
* Material handing fees are expensive. Be sure to know the costs before you ship or receive anything on site at the show.


Internet (wired or wireless) is available through the Indianapolis State Fairgrounds. Contact & ordering information Is on the last page of the Exhibitor Kit here. Packages start at $50/day. Presenters may also need to arrange internet for presentations if needed.


Electricity is also available through the Indianapolis State Fairgrounds and Ermco. Details are on the second-to-last page of the Exhibitor Kit here. Prices start at about $50/outlet.

Booth Design Rules

We are fortunate in Indiana to not have a lot of set-up and design regulations. Here are a few show rules:
* All booth amenities must be within the allotted space (nothing in the isles) unless pre-approved.
* Anything deemed unsafe in the opinion of the show organizer (such as tipping hazards) will be required to change.
* Solid side walls on your booth may not extend farther than halfway to the front of the booth unless pre-arranged. This is so we don't block the view to each other as visitors walk down the aisle. Some shows have designated "full wall" booth areas.
* The provided drape rods will support normal banners but in general are not to be used as booth support.
* Please do not hand out helium balloons.

Parking (map) and trailer parking

Parking is good at the fairgrounds and is usually $10 day. BUT we have you a free parking pass per company we will give you at set-up! You may also buy extra full weekend passes at the parking gates and they include "in-and-out" priviledges. Trailers are okay to leave overnight. Parking map here.


Once delivered to Indianapolis, fees for handling your materials can be expensive. See our material handling notes below.

Material Handling

Advanced shipping and/or material handling can be coordinated through Superior Expo Services. Please see the above mentioned Exhibitor Packet for rates and instructions. Please pre-check your costs so you are aware of the charges and please contact the Pinners staff if you'd like any advice.

Set-Up | Take-Down

Set-up is Thursday, October, TBA between 8 a.m. and 6 p.m. Call or e-mail if you feel you need early set-up times (such as Wednesday afternoon).

Take-down is anytime after 7 p.m. (to 11:30 p.m.) on Saturday evening. No early take downs please!

Class passes

We will give each exhibiting business a class punch card good for 2 classes each day of the show. You can use or pass around this card as you wish. These are passes for the 'stand-by' line and do not include kits. Class passes above these two classes each day will need to be purchased.

Promo Codes

If you would like a custom promo code that you can give to friends and followers for 1/2 price general admission tickets online, please request it here. We'd love giving that to you and the help in getting the word out for everyone at the show.

VIP Giveaways & Swag

Giveaways: This is a great way to get exposure to the VIPs and other attendees. We host games and VIP events which lead to giveaways at the end of the night. We will announce, promote & award your giveaway to winners at the end of the party.

Swag: Contributing an item to the swag bag is an opportunity to get your brand and products even more exposure to this amazing audience (please no coupons/flyers). The Thursday before the show begins is when the VIP party happens for our most loyal attendees, local bloggers and trendy influencers. Each VIP attendee will receive a SWAG BAG and you can contribute to for free! You will need to bring 250 items with you to setup Thursday morning, and we’ll take care of the rest.

Food Sampling/Sales

You may sample & sometimes sell food at the show but there is an approval process that must be submitted 2 weeks prior to the show. Please download this form to either sample or sell food and submit it to Carrie Stadtmiller (317-927-7624 or cstadtmiller@indianastatefair.com). When you sell food it must be pre-approved, pre-packaged food for take-home consumption. Items on sale with the WRMC concessions or catering will not be approved. Prepackaged candy bowls are fine of course.

When sampling or selling food you will also need to download and submit this state form to the Indiana Health Department to obtain a temporary food permit for the show. You can also turn in your health deparement paper work into Carrie with the fairgrounds. She can turn those in for you as well. 

Tax Information

Tax rate - 7%

The state of Indiana requires all businesses to have merchant certificate for those selling merchandise or services. You can register your business to sale in Indiana by going to intime.dor.in.gov and scrolling down to registration. Once your registration is completed and processed you will receive a Registered Retail Merchant Certificate (RRMC). The process takes about 5-10 days so please plan accordingly. Bring a copy of your certificate with you to the event incase proof of your RRMC is needed. You can also contact the Department of Revenue at (317) 232-2240 if you have any questions.
